Email can help an architecture practice explain its work and maintain relevant relationships. Its usefulness depends on who receives the message and what they need next. The number of people using email worldwide tells you little about the clients your practice can serve.

Organize relationships before choosing a template
Separate active inquiries, past clients, professional referrers and people who requested updates. Record why each person is in the group and what communication is appropriate. Existing project correspondence and an ongoing marketing subscription are different relationships.
Keep notes on relevant project types and previous conversations, while limiting access to sensitive client information. Do not include confidential project details or identifiable client material in marketing without the necessary permission.
A list of architects mainly identifies peer businesses. It does not automatically reach property owners, developers or prospective residential clients. Start with the audience that matches your actual commission strategy.
Send a portfolio email around one project decision
A portfolio email works best when it explains a useful design decision rather than simply announcing more photographs. Choose a project relevant to the recipient group and make the next step clear.
Illustrative subject: A courtyard approach for a constrained residential site
Illustrative body: Hello [name], our recent [approved project description] explored how a courtyard could bring daylight into a narrow site while maintaining privacy. [Link to an authorized project page.] If you are considering a project with similar constraints, the page explains the brief and the decisions behind the design. You can reply with a question about our process. [Practice identity and appropriate preference or opt-out details.]
Use only details the practice can substantiate. Avoid claiming savings, performance improvements or client satisfaction unless the project evidence supports them. The template is an example of structure, not a real project description.
Give referrers a specific way to recognize fit
Professional referrers need to know what work to introduce. Explain the project types, area and stage where an introduction would be useful. Avoid vague requests to “send anyone our way.”
Illustrative referral note: We are taking initial conversations about [actual project type] in [service area]. We are a useful fit when [specific brief or constraint]. If a client asks about that work, this page explains our process and the information needed for an initial discussion. Please confirm they want an introduction before sharing their details.
Keep the request proportionate to the relationship. Track agreed introductions separately from a newsletter click; they represent different levels of engagement.
Reactivate a conversation with context
Illustrative reactivation note: Hello [name], when we last spoke, [accurate project context] was awaiting [known decision]. If that has progressed and you would like to revisit the scope, I can outline the next steps. If the project is no longer moving ahead, please let me know and I will update our notes.
Send this only when the relationship and applicable communication rules support it. Do not invent a prior conversation or imply urgency that does not exist. If the person declines further contact, record that decision so another teammate does not restart the same sequence.
Measure conversations and commissions
Track delivered messages, human replies, relevant inquiries, consultations and commissions separately. Note the reporting period and attribution method. A commission with several referral and project touchpoints should not automatically be credited entirely to the latest email.
